Position Title: Development Coordinator

Reporting Relationship: Director of Development

Supervision: No direct reports

FLSA Status: Non-exempt, part time

Position Overview: In collaboration with the Fund Development Team, the Development Coordinator is responsible for the day-to-day administrative support of development, event, and communications activities. Provides support, as needed, to the Director of Finance and Operations in reconciling month-end donor reports. Critical responsibilities include: support of PEARLS’ sponsored fund development events, management of donor databases, and improvements to functional processes. Drafts and maintains fund development database protocols as part of the larger department policies and procedures manual. Assist in office operations and provide a welcoming atmosphere at the front desk.

 

Key Responsibilities

Development Administration

  • Process donations and prepare acknowledgement letters and other correspondence.

  • Organize and maintain foundation, corporation and individual donor files.

  • Create both fundraising reports and other donor database reports, as needed.

  • Maintain the overall health of the donor database records, with support from other team members, through updating constituent records, adding event attendance data, and performing data health functions, as necessary.

  • Conduct preliminary research on prospective corporate, foundation, and individual donors at the direction of the Director of Development.

  • Stay abreast of donor database program developments and recommend how PEARLS could be utilizing database more effectively and efficiently.

  • Assist the Director of Development and other team members in additional fundraising support, as necessary.

    Other Areas of Support as Requested

  • Assist in scheduling appointments as requested for Director of Development.

  • In collaboration with the Director of Finance and Operations, reconcile funds received and entered in to data base and deposited within bank accounts - correct as needed.

  • As an ambassador of PEARLS’ Vision, utilize communication that assumes all office visitors and callers are warmly welcomed. 

     Special Events                                

  • Support the Fund Development Team in event planning and logistics. 

  • Assist in managing pre- and post-event logistics, including maintaining guest lists, gathering and preparing registration and sponsorship materials and other duties as assigned for fund-raising events.

  • Attend all events; manage details, service issues and last minute needs per the direction of the Events and Communications Coordinator.

  • Assist the Events and Communications Coordinator in other related projects as necessary.

    Education and Experience

    Associate's or Bachelor's degree in a related field. A minimum of three years' experience in an administrative position, preferably in a not-for-profit development office.

     

    Language Skills

Ability to read and interpret documents, such as policy and procedure guidelines and fiscal reporting requirements. Ability to generate reports for use by others. Ability to speak effectively before groups of youths, adults, and community professionals.

 

Necessary Skills

  • Proficiency in Microsoft Word, Excel and donor database management experience.

  • Excellent verbal and written communications skills

  • Ability to present information concisely and effectively, both verbally and in writing

  • Strong project management and planning skills—ability to manage multiple projects, simultaneously

  • Strong attention to detail, execution and follow-through of those details

  • Ability to take initiative and problem solve, with little direction

  • Ability to network, represent the organization at PEARLS events

  • Ability to analyze data and recommend solutions/improvements

  • Proactive thinker, able to anticipate needs and opportunities

  • Excellent interpersonal skills

  • Good organization skills, timely and prompt

     

    Mathematical Skills

Ability to perform basic high school mathematical operations.

Ability to respect and maintain confidentiality. Ability to work with non-judgmental attitude in a population that is diverse in gender, socio-economic level, ethnicity, sexual orientation, and physical or mental abilities. Ability to work within the parameters of the program and be able to work in an environment where there is frequent exposure to stressful/critical situations. Ability to use standard office equipment.
